York's Footstreets are the single most important fact for anyone bringing equipment into this city. Between 10:30 and 17:00 all vehicles are banned from the historic core, including deliveries, and it's enforced by hostile-vehicle bollards rather than goodwill. That gives a simple rule: load in before half ten, or hold a specific dispensation. We work to the former, which means an early arrival and a setup finished long before your guests think about turning up.

Outside the walls it inverts completely. York Racecourse on the Knavesmire offers 650 delegates, 2,000 square metres of exhibition space and around 2,000 free parking spaces — one of the most supplier-friendly venues in the north. The National Railway Museum sits beside the station with six function rooms plus the Great Hall, and the LNER Community Stadium out at Monks Cross hires readily on non-matchdays. Between the walls and the ring road, there's a room here for any size of event.

When should we book for December?
By late October for a Friday. York's December is busier than its size suggests — the Christmas market pulls serious visitor numbers into a small walled centre, which tightens both venues and access.
